What
A cashbook export creates a file that can be imported into DATEV or Twinfield, for example. Different export formats can be selected.
Where
Admin: Accounting > Cashbook > Export as. |
Your tax advisor is welcome to use our cashbook export. With a brief message to our Customer Success Team, we can create a user group for your tax advisor. All relevant data can be provided with this user group.
Enter general financial accounting settings
"Fibu" is an abbreviation for financial accounting.
The general financial accounting settings (financial accounting settings) are stored under Admin: Store > Stores > Edit > Settings > Cash journal and cash balances.
The entire "Cash journal and cash balances" section is for financial accounting.
First, however, the accounting accounts must be entered in the admin area under Admin: Store > Stores > Edit > Settings > Cash journal and cash balances.
Even if the name is the same, the account must be entered in each field.
If the accounting accounts are changed, they must be changed in the respective individual fields.
It should be noted that an account is stored for the "Tax proceeds account: tax-free" to which the credit balances are posted.
This account must also be entered one tab further under "Payment type" for the payment method "Credit non-cash" ("Guthaben unbar"); if necessary, this payment method must still be activated.
To ensure that not only the income but also the transfers and expenses are assigned to accounts, the accounts must also be defined for this.
If you have 2 stores in a joint accounting system, you can enter a distinguishing indicator under "Cost center 1".
If a cashbook export is to be carried out with a prior check, additional information must be entered for the "DATEV export".
Important
Without a posting account, the DATEV export check will fail.
Enter DATEV numbers
The DATEV numbers (usually used in Germany/Austria/Switzerland) must be stored in the same area under Admin: Store > Stores > Edit > Settings > Cash journal and cash balances > "DATEV client number" + "DATEV adviser number" + "Length of DATEV real account numbers".
As the accounts are usually used individually, these accounts and the other data must be requested from your tax advisor.
The chart of accounts is not decisive.
Explanations of the DATEV fields:
DATEV client number: You will receive the DATEV client number from your tax adviser.
DATEV adviser number: The DATEV adviser number is the DATEV-ID of your tax adviser and that is where you can receive it from.
Length of DATEV real account numbers: The length of DATEV real account numbers is the real or personal account number. The length of personal accounts can only be 1 character longer than the defined real account numbers. Typical are 4-digit G/L accounts, so the number 4 is entered in the "Length of DATEV real account numbers" field.
Enter the financial account number for the payment method
The financial account number for the payment method is stored under Admin: Store > Stores > Edit > Payment type > Fibu account of payment method.
Cashbook categories and templates
Under Admin: Accounting > Cashbook categories, filterable areas can be created in the cashbook, as well as templates available in the POS under Admin: Accounting > Cashbook templates.
Cashbook export / DATEV export
The cashbook exports can be created under Admin: Accounting > Cashbook > Export as > e.g. "DATEV format".
For example, the "DATEV format" exports a DATEV-compatible CSV format that can be read into DATEV.
The following cashbook formats can be exported:
- Excel
- CSV
- DATEV format (verified CSV export for DATEV, usually used in Germany/Austria/Switzerland)
- Twinfield-XML (used in the Netherlands)
The "Export as" button is only displayed if exportable data are available.
Even if the check resulted in an error, this export can be downloaded and manually supplemented with the missing accounting accounts.
