Delivery areas

Delivery areas

What
To enable delivery to customers, it is first necessary to define the delivery areas.

Where
Admin: Store > Stores > Delivery areas.

In order to be able to deliver to customers, the delivery areas must first be defined. We use an innovative polygon creation system based on Google Maps. You can enter district and zip code areas. It is also possible to draw the areas yourself, or optionally use a KML import.

Create delivery area

A delivery area is created under Admin: Store > Stores > Delivery areas.

A view for the delivery areas opens.

To draw a new delivery area on the map or select an area, first click on the "New delivery area" tab.

Enter the data such as "Delivery area name", "City", the "Minimum order value" if required, etc. and then click on "Save".

A section with "Edit delivery area" is then displayed below the "Save" button.

Create delivery area by drawing

If you want to draw an area on the map yourself, select the "Draw" option.
You can then draw on the map with a mouse click.

Editing a drawn delivery area subsequently

If the drawn area is to be subsequently changed, the "Edit" option is selected and the individual points can be moved on the map by pressing and holding the mouse cursor.
If an area has been moved, a small back arrow appears next to it, which can be used to undo the last change.

If an area is to be selected using a zip code, district or city, you can search for the relevant zip code, district or city under "Search for area and add".

If the area you were looking for was found, the found areas are displayed below. By clicking on the found area, it will be selected and displayed on the map.

It is also possible to edit the area by clicking on the "Edit" option, and now the individual points can be moved on the map by pressing and holding the mouse cursor.

If an area has been moved, a small back arrow appears next to it, which can be used to undo the last change.

Deleting an edited delivery area

A marked area or searched area can be deleted by clicking on the red button with the X icon "Delete" next to "Area".

If the mouse cursor is moved over the "Delete" X icon, the affected area is highlighted in color on the map to indicate which area will be removed by the deletion.

After clicking on the "Delete" X icon, a query appears asking if the area should really be deleted.

Deliveries outside the delivery area

It is also possible to make deliveries to customers outside the delivery area. However, this only works via the cash register. To do this, a delivery area must be created that is to be delivered to if required. For this, the "Requires confirmation" option must be clicked when configuring the delivery area.

If a customer is recognized within this delivery area, the cash register will ask if it should be delivered to the customer, or if the customer would like to pick up the goods himself.

Time-controlled delivery areas

In the overview of all delivery areas, the button with the clock "Timed activation" indicates if a delivery area is time-controlled.

If this "Timed activation" button is yellow, then separate times are set here.
If no settings have been made here, this area will be supplied regularly during the store's opening hours.

Activate time-controlled delivery area

After clicking on the button with the clock "Timed activation", you can specify different times for deliveries to certain areas.

At the top is an overview of which store and which delivery area is being processed.

The activation of the delivery area can be checked using the “Check” button. Here you can specify a time that should be checked and by clicking on "Check" a display appears in the upper right corner of the window if the delivery area is active or inactive at the desired time.

Regular activations can be added in the following area.

For example, if a delivery area can only be delivered in the morning every day, e.g. because a larger delivery area can only be delivered before lunchtime than at lunchtime itself, the delivery times can be set at 8 a.m. to 12 p.m., for example.

To do this, simply activate the corresponding checkboxes for the respective day of the week and the time at which the area can be delivered.

The entry is then confirmed with the green "Confirm" button and the times are added to the table below.

If errors have been made during the input, these can simply be deleted using the yellow button with the "x".

For example, if a delivery area is regularly activated but is to be inactive at certain times, e.g. because there is a roadworks site in this area and the area is difficult to reach at certain times, the times can be set here in a similar way to the upper area. Times when the area is inactive are shown in red.

KML import of delivery areas

There is the additional option of importing the delivery areas into the SIDES system as required via a KML format.

1. Download KML file from the Internet

There are pages available on the Internet that provide information on cities and municipalities throughout the country, which can be exported as a KML file (e.g. Internet search for: kml file for netherlands).

The following page can be used for Germany: www.suche-postleitzahl.org.
Search there for the area or areas that are to be imported afterwards. Once the area has been found, it can be downloaded using the "Available downloads" button on the right-hand side, and the following window will then open. Here you can select the relevant part (e.g. under administrative boundaries - district, city or country; or under zip code maps - 5-digit district Berlin center, 5-digit city Berlin etc.) which you wish to export, and select the ".KML" format. The download can then be started with the "Start download" button.

2. Import the KML file from Google

Once the file has been downloaded, it will be imported in the next step: www.google.com/maps/d/. (This import is used for all countries).

A new map is created here with the "Create new map" button. You have to assign a name, and the previously exported file will be imported again using the "Import" button.

If the import was successful, the area is then displayed accordingly on the map.

The "Add layer" function can also be used to add further files and thus gradually complete the map on Google. This can be enormously helpful for future projects with a similar area.

3. Export KML file again

Once all the desired areas have been successfully imported into Google, a KML file can now be exported again. This is exported via the menu next to the map name with "Export to KML/KMZ".

A pop-up window then opens where you can decide whether you want to export the entire map or just part of it.
In our case, we only want to export the "center" part.

Then select the lower checkbox to export the file as KML and not KMZ.
Click on "Download" to export the KML file.

4. Import a suitable KML file into SIDES

We now have a suitable KML file that can be imported into the SIDES system.

There are several options for the import:

Either an existing delivery area is used, and the map created is also uploaded.

To do this, first edit the existing delivery area in the "Delivery areas" tab using the "Edit" button, and then the tab automatically switches to edit mode. There, under "Import areas", the KML file is first selected with "Browse" and then imported with the green "Import" button next to it.

Or you can create a completely new delivery area with all the necessary settings.

To do this, select the KML file with "Browse" under "KML file" in the "Delivery areas" tab and then import it using the "Import new delivery areas" button.

After clicking on "Import", you can then select whether you really want to import all delivery areas or only certain areas.

The available selection options vary depending on the content of the KML file.

With a click on "Import" the selection will be imported.
