Newsletter (EN)

What
Before a newsletter can be sent to the customer, the customer must first give their consent. The customer can agree to receive newsletter emails in the webshop or the app, or an employee can activate the consent for the customer via the Admin/POS.

Where
POS: Customer > Search > Edit > Send consent email.
Admin: Customer > Customer list > Search > Edit > Send consent email.


In order to be able to send the customer various specific emails, e.g. emails with sales/discount promotions, customers must first agree to the basic receiving of such emails via checkboxes (webshops/apps); this is described below in the section: "
Consent to the newsletter via the webshop/app". The consent for "Postal advertisement" can also be activated there for the alternative to the digital variant by email via a separate checkbox in the webshop/app.

Furthermore, an employee can activate the consent for the customer via the Admin/POS, this is described below in the section "Sending consent emails to an individual customer (Admin/POS)".

The setting with the receipt for newsletter emails is also used for the active sending of feedback emails. To do this, a newsletter/feedback email template and feedback categories must be created, and the feedback module activated in the global store settings. Create email template for newsletter approval

First, a template for sending emails must be created if this does not yet exist.

If an email template for the newsletter confirmation already exists, the consent can now be sent to the customer, go to the next section.

1) To create an email template for the newsletter confirmation, go to Admin: Store > Email templates > Add template.
2. Select under "Purpose" > "Newsletter confirmation" and click on "Load default template".
3. Enter a name for the email template
4. Enter the subject in the "Subject" field, which will then appear in the customer's email overview.
5. After clicking on "Load default template" in step 2, the HTML text can now be customized according to your own wishes under "Template". 

There are further placeholders in the editing footer that can be used for the template. The placeholder can be copied using the "Copy" button and pasted into the template using the keyboard shortcut [CTRL]+[V]. The placeholders automatically add the respective data from the customer, e.g. "%user_name%" adds the customer's first name.

6. Finally, the email template for the newsletter confirmation is saved with the "Save" button.




Before a newsletter can be sent to the customer, it is necessary that the customer agrees to receive newsletter emails.

The employee can activate this via the Admin as well as via the POS.

Procedure for Admin/POS:

1. For POS, go to POS: Customer in the navigation.
For Admin, go to Admin: Customers > Customer list in the navigation.

The further procedure is the same for Admin and POS:
2. Enter the search criteria for the customer and click on "Search" at the bottom.
3. Go to the desired customer and click on "Edit".
4. Scroll down to where you see the word "Newsletter". 
  1. If there is a red "X" next to the newsletter, it means that the customer has not yet agreed to receive the newsletter.
    In this case, click on the newsletter button "Send consent email" to send the newsletter confirmation to the customer.
    The customer then receives the newsletter confirmation email and can actively consent to receiving newsletters by clicking on the link in the email and thereby confirming the newsletter subscription.

  2. If a green tick ""is visible next to the newsletter, the customer has already agreed to receive newsletters.
    If the newsletter button is now clicked, the newsletter will be canceled and the customer will no longer receive the newsletter. The customer is not informed that the newsletter has been canceled via the Admin/POS.




The customer automatically receives the newsletter registration email if they agree to the newsletter being sent in the webshop/app. The prerequisite is that an email template for the newsletter confirmation exists (see "Create email template for newsletter approval" above).

The customer can also activate the approval for "Postal advertisement" via a separate checkbox for the alternative to the digital version as an email.

How does the customer confirm receiving of the newsletter?

There are 2 ways in which the customer can agree to receive the newsletter:

In the webshop/app via his profile:

1. The customer creates an account in the webshop if it does not yet exist.
2. The customer logs into his account in the webshop.
3. The customer goes to his profile and there he can edit his personal data and activate the newsletter dispatch by clicking on the checkbox at "I would like to receive information about promotions, vouchers and coupons by email". The customer then clicks on "Save details".
4. The customer then receives the email for the newsletter registration and can actively agree to this.




In the webshop/app when placing an order in the checkout:

1. The customer orders in the webshop/app.
2. When completing the order, the customer has the option of agreeing to receive the newsletter before placing a chargeable order.




Sending mass emails to all customers

SendGrid can be used to send mass emails to all customers.

SendGrid is a cloud-based service for email marketing and transactional emails. This service can be used to send mass emails for marketing campaigns, track email open rates and clicks, manage subscriber lists and ensure that emails are not marked as spam.
